Open access policy

Open access ensures free online access to publicly funded research publications, increasing the use, application and impact of research results.

Projects funded by Sentinel North must comply with the requirements of the federal granting agencies and Université Laval’s institutional policy on open access to publications of research results. This guide presents the tools available to Université Laval researchers to comply with these requirements.

 

This policy affects you if :


1. You have published an article in a peer-reviewed journal as part of research funded by the following funds or agencies: SSHRC, NSERC, CIHR and FRQ.

Please note : Research funded by Sentinel North, which is financed by the Canada First Research Excellence Fund, is subject to the Tri-Agency Open Access Policy on Publications.


2. You have published an article in a peer-reviewed journal as part of research for which you received a FRQ grant. Recipients of awards from the three granting agencies (CIHR, NSERC, SSHRC) are not required to comply with the open access policy. However, they are strongly encouraged to do so.

 

Compliance with the open access policy


The granting agencies and research funds recognize two non-mutually-exclusive ways of complying with their policies:

  • Publishing the articles in an open-access journal
  • Submitting the articles to an institutional or disciplinary repository after publishing them in a journal


The platforms ResearchGate, Academia.edu, and personal or research group websites are not recognized means of compliance.

Please note :  You are not required to pay to publish in open access if the journal has conditions for submission to an institutional repository that are compatible with the organizations’ policies.

 

Filing your articles in CorpusUL


The CorpusUL institutional repository platform is available to all Université Laval researchers. To file your articles, go to corpus.ulaval.ca. Then click on “Submit” and follow the instructions provided. Once submitted, the articles will be accessible to all through search tools (Google Scholar, OpenAIRE, Dimensions, etc.)

Most journals accept that the articles they publish will be submitted to a repository such as CorpusUL. Two essential conditions apply.

1. Version to use : Submit the accepted version for publication, including all requested changes, but without the journal formatting. This version complies with open access policies and is the one that publishers most often allow the author to store in an institutional repository.

2. Embargo period : The time limit imposed by the journals may exceed the 12 months prescribed by the agencies’ open access policies.


The CorpusUL team systematically applies these conditions to the articles submitted to the platform. Therefore, in order to comply with the institutional repository’s open access policies, you must ensure that the journals’ conditions are compatible with those policies.

Please note : You can delegate the submission of your articles to a third party in your team.

 

Publishing in an open-access journal


The costs of publishing in open access journals are considered eligible expenses by the Canadian granting agencies (SSHRC, NSERC and CIHR), the Fonds de recherche du Québec (FRQ) and Sentinel North. These costs must therefore be anticipated when applying for a grant.

Please note : Sentinel North makes an Author Fund available to its research teams to help cover the costs of publishing articles (Article Processing Charges - APC).

As a token of appreciation, all research projects and activities funded by Sentinel North must include the following acknowledgement in each of their publications:
